Job Description

Copia Resources Inc is seeking a highly-skilled Executive Assistant in our San Ramon, CA Headquarters to provide support to our CEO and Executive Team. The ideal candidate will have excellent organizational skills, a strong attention to detail, and the ability to multitask in a fast-paced environment. S/he will be responsible for staying up to date on industry trends, overseeing sales pipelines, and supporting the overall growth of the company. The successful candidate will be a critical thinker who is proactive and can take a strategic perspective while also being hands-on and detail-oriented.

This is an on-site position with 50% travel requirements

Job Duties:

  • Work directly with the CEO and leadership team to support all aspects of daily work routine.
  • Prep the CEO on details/information prior to meetings.
  • Organize and prepare for meetings. Attend meetings and take notes; prepare the initial draft of minutes and summaries.
  • Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, trade shows, and travel. May coordinate travel arrangements.
  • Manage the executive’s sales and growth prospects to ensure deadlines are met and deals are achieved.
  • Build, maintain, and update templates for contracts and proposals.
  • Create sales contracts and proposals.
  • Manage CRM database.
  • Nurture sales leads through client outreach and follow up.
  • Consistent research on growth initiatives (I.E., local trade shows).
  • Push business priorities forward by keeping a pulse on the CEOs priorities.
  • Serve as the gatekeeper to ensure the CEO’s time is protected and spent wisely.
  • Keep CEO and leadership team informed of time-sensitive and priority issues.
  • Prepare, reconcile, and submit CEO’s expense reports.
  • Maintain paper and electronic filing system.
  • Maintain confidential and sensitive information.
  • Be responsive to emails, texts, and phone calls inside and outside of business hours.
  • Complete a variety of special projects including creating presentations, spreadsheets, special reports, and agenda material.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or executives as needed.

The Ideal Candidate:

  • A detail-oriented self-starter with prior experience interacting with an Executive Team.
  • Sales background or previous experience in a sales-supporting role is highly encouraged.
  • Must be tech savvy and efficient working with computers - Mac use preferred.
  • Excellent computer skills (Word, Excel, MS Office)
  • High verbal and written communication skills
  • High level of attention to detail and organizational skills
  • Must be available to work Monday - Friday 7:00 AM - 4:00 PM in San Ramon (Also must be available to work some major holidays)
  • Ability to meet tight deadlines while working on multiple projects
  • Ability to travel

Job Type: Full-time

Pay: $65,000.00 - $70,000.00 per year
